The Hangar
Privacy Policy
Last updated October 23, 2026
This policy explains what information The Hangar, LLC ("The Hangar," "we") collects through this website, how we use it, and the choices you have. It covers the website only; information you give us at the facility is handled under the same principles.
What we collect
- What you send us. When you use a form - a message, a party or event quote, a team practice request, or a membership question - we receive and keep the details you enter: your name, email, phone number if you give it, your message and request details, and whether you asked for news and offers by email (with the date you chose).
- Reservation requests. When you request a time on Find Your Spot we keep the space, date, time, and length you picked, your name, email, and phone, what the time is for, a team or instructor name if you give one, how many people are coming, your notes, and the internet address you sent it from (to prevent abuse). Our staff use it to approve or decline the request, book it, and reach you; if we move your request to the membership waitlist, the same details go to the waitlist.
- Clinic and camp registrations. When you register a player we keep your name, email, and phone, the player's name and age, any notes you add (please don't include medical details here - tell the front desk), the session, payment status, and the internet address used. A parent or guardian (18+) registers players under 18.
- Outside instructors. If you rent space as an independent instructor we keep your name, email, phone, business name, your liability insurance carrier and expiration date, and your signed space-rental agreement.
- The membership waitlist. If you join the waitlist we keep your name, email, phone if you give it, the plan you're interested in, the names and ages of the players you list, how you'd like us to reach you, and a record of each time we contact you about a membership, including whether a player is on a team (it can qualify for a team-affiliated rate). When a spot opens we email you a private membership link that is good for 14 days.
- Your family account. If you create an account, we keep your name, email, phone, and address, and what you add for your players: names, dates of birth, emergency contacts, health concerns or allergies, insurance details, and signed waivers. A parent or guardian creates and manages the account for players under 18. Your password is stored only as a secure one-way hash - we can't see it. You (signed in) and our staff can see your account; the front desk uses it to keep players safe and to check them in.
- Team coaches. If one of your players is on a team that trains here, that team's coach can see, for the players on their own roster only: name, age and date of birth, waiver status, health concerns or allergies, emergency contact, and the parent or guardian's name, phone, and email - so they can run a safe practice and reach families. A coach can also add a player to their roster by entering the player's details and a parent's contact information; the parent can review, correct, or remove that information at any time.
- Payments. When online payments are available, they are processed by Square. Your card number goes directly to Square and is never seen or stored by us; we keep a record of the purchase (your name, email, what you bought, and the amount). For a membership, Square keeps your card on file to bill the monthly renewal, and we keep the renewal terms you agreed to and when. For a gift card we keep the gift card number and the recipient's name, email, and message if you give them - the recipient's email is used only to send them the card. When we approve a reservation or you register for a clinic or camp, you may pay on Square's secure checkout page; we keep the payment amount and Square's payment reference.
- Technical information. Our hosting provider records basic request data such as IP address, browser type, and pages requested, to deliver the site and keep it secure. We also store the IP address with waitlist sign-ups, form requests, reservation requests, registrations, sign-ins, and signed waivers, to prevent abuse and as a record of the signature.
- PlayBall leaderboard. When you post a PlayBall score we save the score, the game mode and level, the time, the IP address (to limit abuse), and the name shown on the board. A guest's name is the nickname they type. For a family account, the board shows the player's first name and last initial, or a nickname the account holder sets in My Account, and the score is saved to that player. Leaderboard names and scores are public on the site. Staff can remove any entry, and you can ask us to.
- Your browser's storage. A few features, like the batting game, save settings in your own browser. That stays on your device; it isn't sent to us.
We don't use advertising or tracking cookies. If you sign in, we set a cookie that keeps you signed in; it is required for your account to work. On the payment page, Square may set its own cookies to prevent fraud; see Square's privacy notice.
How we use it
- To answer your message or request and to schedule, confirm, or follow up on sessions, events, and memberships.
- To call or text you about your request or membership if you gave us a phone number and asked us to. These are personal messages from our staff - we don't send automated or marketing texts.
- To process payments and send receipts.
- To keep the site working and secure.
- To send news, camp dates, and offers - only if you checked the box asking for them. Every marketing email includes a way to unsubscribe.
Who we share it with
We don't sell or rent your information. We share it only with the service providers that run the site and our business - our website host (Vercel), our database provider (Supabase), our email provider, Square for payments, and SignWell for electronic signatures (waivers and instructor agreements) - and only so they can do that work for us, or when the law requires it.
Children
This website is meant for parents, guardians, coaches, and adult players. It isn't directed to children under 13, and we don't knowingly collect information from them online. Information about young players is entered by their parent or guardian (who confirms they are 18 or older when creating an account), or by their team's coach with the parent's contact details. The parent or guardian can review, correct, or ask us to delete it at any time. If you believe a child has sent us information, contact us and we'll delete it.
Signed waivers
When a parent or guardian signs a waiver online, from a family account, an emailed link, or the front-desk tablet, we keep the signed document together with the information entered on it (the player's details, contact and emergency details, any health notes and insurance details), the drawn or typed signatures, the date and time, the internet address and device/browser details used to sign, and the photo and video choice made in the waiver. A copy is emailed to our front-desk inbox and to the signer once their email address is confirmed. Signed waivers can be viewed by the family on their account and by authorized staff, and every staff view is logged.
Waivers may also be signed through SignWell, an electronic-signature service. In that case we send SignWell the player's name and date of birth and the signer's name and email so it can prepare the waiver and email it to you; SignWell records the signature and returns the signed copy to us, and we keep it as described above. SignWell's own privacy policy applies to its handling of that information.
How long we keep it
We keep messages and requests as long as we need them to respond and run the business, and payment records as long as the law requires for tax and accounting. Signed waivers are legal records: we keep them indefinitely, including after a player stops visiting.
Your choices
You can ask us what information we have about you, ask us to correct or delete it, or stop marketing emails at any time. Some records, such as signed waivers and payment records, have to be kept even after a deletion request; we delete everything else. Use the contact form or ask at the front desk.
Changes
If we change how we handle information, we'll update this page and the date at the top.
